Funciones

The Management team of IE Foundation is looking for an assistant. The Assistant will coordinate and carry out all administrative taks providing executive, administrative and development support to the team. The IE Foundation Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the IE Foundation.


Key Action Areas: 

•	Responsible for managing and answering the IE Foundation email.
•	Organize meetings and events.
•	Prepare presentations and materials needed for conferences and events.
•	Coordinate  invoices and follow up on payments with the administration department.
•	Provide administrative support to manage and improve cost control of the different Centers, Chairs, Observatories and Scholarships. 
•	Organize trips for the the Management team. 
•	Assist in translation of documentation. 
•	Maintain and organize files.
•	Assist in mailbox management.
•	Prepare and manage national and international grants.
•	Coordinate and execution the activity plan for the IE Foundation Fellows Program.
•	Manage and maintaining the data base of IE Foundation contacts and stakeholders.
•	Support the IE Fundation team with the emailing communication management.
•	Organize the IE Foundation Board of Trustees (twice a year).

Requisitos

Requirements:

•	Bachelor’s Degree.
•	Fluency in both English and Spanish, and good communication skills (verbal and written).
•	Previous experience in Executive or Personal Assistant roles would be highly valuable.
•	Proficiency in Microsoft Office (Word, Excel and PowerPoint)
•	Previous experience using Travex, Cytric AMEX travel and CRM will be an asset.
•	A track record of customer interface, excellent organization skills and a proactive attitude.
•	A good team player.
