Funciones

Answer incoming calls, route callers, provide routine information, and take messages with a high level of customer service orientation

Communicate with business leaders at a national or international level in order to schedule meetings or request for information

Excellence

Manage the CEO’s office, ensuring that meetings are scheduled, messages are taken, e-mails are responded to, events are set up, documents are prepared / printed / circulated as necessary and that the CEO is represented in an appropriate manner to clients and internal stakeholders

Coordinate travel and accommodation

Process expense reports in a timely and efficient manner

Schedule meetings, reserve/prepare meeting rooms and arrange refreshments when required

Handle confidential correspondence, memoranda, contracts and proposals with high levels of discretion

Prepare, format, edit and proofread letters, proposals, presentations, spreadsheets and marketing materials using Microsoft Word, Excel, and Power Point 

People

Build professional relationships internally and collaborate effectively with cross-functional team members

Demonstrate influence and confidence but with utmost discretion when dealing with associates at all levels in carrying out the functions of the role

Requisitos

Prior experience of operating as an Executive Assistant in a professional environment

Fluency in English and Portuguese

Excellent secretarial skills - advanced knowledge of Word, PowerPoint and Outlook and advance Excel skills

High levels of discretion and confidentiality

Ability to interact with clients and stakeholders in a pleasant, professional manner by phone and within the office

Excellent organizational coordination skills

High levels of efficiency and professionalism

Good attention to detail and high levels of accuracy

Ability to work independently with minimum instruction

Ability to juggle multiple priorities, work under pressure and successfully meet deadlines

Flexible: capable of adapting plans as necessary in the face of changing circumstances

Confident and an effective communicator

Demonstrated commercial understanding and business acumen

Proactive approach

Ability to exercise good judgement and common sense

Excellent written and verbal communication skills with strong command of the English and Portuguese language.
