Funciones

Great Expat Assistant opportunity with the top levels of a very international organization.


Description

* Diary management - Proactively managing, scheduling and prioritising meetings and events. 
 * Travel management - The directors travel regularly to many of our offices across the 13 countries in the region requiring booking of international travel - flights, visas, hotels, transfers to and from the airport. 
 * Prepare agenda and logistics for meetings and seminars 
 * Support in preparation of presentation materials and publication of materials for meetings 
 * Planning and coordinating of meetings by booking facilities and ensuring they are properly equipped, scheduling meetings with all other attendees, catering etc. 
 * Liaising with Board members, their EAs/PAs and colleagues at all levels building relationships with them over the phone, in person and via email.
 * Administrative support on travel expenses and approvals 
 * Assist to accommodate private agenda when work agenda interferes with private 
 * Given the nature of the position it might be required to be available out of core working hours when the directors are travelling.


Profile

* Fluent in English (preferably native speaker), Spanish and a third language is a plus
 * Ability to plan and flexibility in working hours 
 * Excellent interpersonal and communication skills 
 * High level of confidentiality, accuracy and discretion 
 * Superior organizational skills and planning ability 
 * Strong Problem solving skills, highly resourceful 
 * Excellent customer service skills 
 * Mastering to a high standard MS Office Suite; including Microsoft PowerPoint, Word, Excel and share-point
 * * Experience in International Companies, matrix organizations and multi-cultural environments
