Payroll activities (70%) - Manage the monthly payroll preparation for our different markets and ensure that all payroll transactions are - processed accurately and timely. Countries: Spain, France, Italy, Switzerland, Germany, Belgium and Austria. - Collect information and have a good coordination with the HR team - Communication and coordination with the different Managers of the different departments when needed. - Prepare a structured monthly communication to the fiduciary for the preparation of the monthly payroll (new arrivals, departures, changes, etc.) - Verification of the data sent by fiduciary before payment - Respect of the deadlines of the payroll processes and ensure that salary payments are done in due time - Prepare periodic payroll reconciliation - Maintain our main payroll database updated with all current payroll information and forecast (future new roles, changes, etc.) - Keep a good and efficient communication and coordination with the Finance department (accounting entries, cost centers, etc.) - Give accurate information for requests from staff or managers about payroll or legal issue - Keep updated our legal information on the server (legal information file per country) - Follow and keep updated our internal payroll procedures for each market - Ask for confirmation of suggested payments from senior management - Ensure that Workday is updated in link with payroll changes (maternity leave, unpaid leave, etc.) - Prepare and coordination the payment of the quarterly and annual bonus (Sales and managerial bonuses) - Keep updated the SCI concerning the payroll process - Ensure to be compliance with the labor legal laws of our different countries (data protection, labor laws, collective agreements, etc.) and do some researches (ex. salaries benchmarks, legal information, etc. HR general activities and projects (30%) - Be part of the GDPR & Compliance team, being the point of contact for GDPR projects and tasks related to our employees - Workday administrator, update of new features when required. - HR forecast and budget: control the group headcount, the personnel cost planning and the forecast creation, among other KPI's by carrying out a regular deviation analysis - Be part of People Engagement initiatives across the company - Contact with lawyer for a specific topics when required. - In charge of kpi’s and analytics - Participation in other HR projects with a generalist approach - Support the Head of HR in different HR related projects and tasks
- Bachelor degree in accounting/business or similar relevant field - HR diploma as a plus - Proven experience as Payroll Specialist (at least 3-5 years) in an international environment managing different payroll countries in Europe - Solid understanding of accounting fundamentals and payroll best practices - Excellent numerical skills - Proficient command of Excel - Extensive Spanish labor law knowledge skills and knowledge at an international level - Knoweldge and experience in other HR areas and interest to participate to various HR project and tasks - Experience using Workday will be a plus - Outstanding time management and organisational ability with great attention to detail - Strong interpersonal (verbal and written) communication skills - High ethical standard to manage information of a confidential nature - Ability and interest to multitask
