Funciones

Provide administrative support to the team
Answering phones in a professional manner, and routing calls as necessary
Assisting with a variety of administrative tasks including copying, scanning, taking notes, and making travel plans if required
Manage correspondence, including emails and phone calls
Schedule appointments, meetings, and manage calendars
Travel preparation and agenda support
Prepare reports and presentations
Maintain a well-organised filing system
Handle confidential information with discretion
Setting up events on and off-site
Support other departments with administrative tasks as required
Purchasing furniture and furnishings if and when required
Managing contacts in Outlook
Welcoming clients, suppliers, and couriers
Interfacing with the IT department for telephones, computer equipment, and video conferencing equipment.
Ordering and maintaining the stock of all supplies
Liaising with the building manager
Managing the cleaning company
Organising couriers
Maintaining a record of absences (vacations, sick leave, time recording)
Checking and forwarding supplier invoices
Working with the relevant teams in the UK Head Office
Preparing meeting and training rooms
Assisting with expense reports

Requisitos

A successful Office Assistant should have:A degree in Business Administration or Secretarial or a related field
2-3 years of experience in a similar position
Very advanced level of English (C1/C2)
Proficiency in MS Office Suite
Excellent written and verbal communication skills
Strong organisational skills with an eye for detail
The ability to multitask and prioritise workload
Professionalism and a positive attitude
Critical thinking
Enthusiastic and energetic 
Person interested in working part-time (permanent position)

A competitive salary range of €24.000 - 25.000 per annum
