Are you an Office Manager? Do you like working in an international office and having several responsibilities? If you have an advanced level of English and Spanish and you have previous experience as an Office Manager, this could be great for you! Main Responsibilities: Office Maintenance Duties: - Manage office equipment and supplies, including supplier relations - Maintain equipment inventory - Ensure office is tidy, safe and in good working order - Liaise with IT company as needed (IT requests, escalation point of contact for the team) - Manage repairs - Coordinate/send team emails, memos, etc. - Phone and reception: Serve as the company´s point of contact for calls, visitors, emails, etc. - Keep management informed with reports Administrative Duties: - Control and declare expenses to gestoría - Prepare and update financial statements and reports - Control gestoría’s declarations and handle all arising issues with them as needed - Receive/redirect postal mail and deliveries - Check and send documents - Liaise with data protection agency - Manage petty cash - Pay suppliers and file invoices HR Duties: - Liaise with gestoría for HR requests - Prepare newcomers’ paperwork and onboarding - Support foreign employees with legal paperwork and coordinate with the lawyer - Track and log holidays, sickness, and telecommuting days - Coordinate with FUNDAE for team´s funded training and check process - Maintain archive of employee paperwork - Salaries: liaise with gestoría to generate paychecks and process payments - Control Health & Safety documentation and actions needed - Respond to employees’ inquiries - Coordinate events such as Summer Dinner, Christmas Dinner, Welcome parties, etc. CRM Duties: - This role requires a close collaboration with the CRM - The Office Manager will be trained in all CRM tasks to be able to step in temporarily in case of CRM´s absence
Key Languages: - Advanced level of English and Spanish Core Skills / Experience: An experienced Office Manager with a conscientious and focused approach and an ability to interact collaboratively with managers and colleagues/customers at all levels. Ability to work well under pressure and to define deadlines. Outstanding organizational skills and ability to multi-task, prioritize and adapt to a changing environment. This role will suit a resilient and reliable ‘self-starter’ with strong planning, interpersonal skills and an attention to detail. You will need the ability, enthusiasm, and flexibility to work within a small but growing team. - Self-motivated with the ability to work independently - Strong organization and communication skills - Excellent Spanish and English language - Friendly and patient yet determined - Experience in improving business practices, optimizing processes and control systems - Excellent attention to detail; ability to file and report information accurately - Experience in providing administrative support in a professional services environment - Ability to handle conflicting demands and juggle priorities - Expert working knowledge of MS Office (Outlook, Word, and Excel) - Required experience: minimum 3 years in a similar position (previous experience in Salesforce is a plus
