We are looking for an Assistant to support operations within the Dean’s Office. In this role you will be working with the Director of Operations and the Accreditation Coordinator in ways that optimize procedures, increase efficiency and quality across all the master’s programs of IE Business School. The candidate will also develop other particular projects in accordance with the Dean’s office needs. For this purpose, the candidate will need excellent time management, attention to detail and communication skills. Key Action Areas: • Procedures optimization: Analyze existing procedures and suggest more efficient ways; Support the Director of Operations and Accreditation Coordinator in redesigning data collection procedures; Create and update records ensuring quality and validity of information. • Developing procedure documents: Producing/translating documents, briefing papers, reports and presentations to support operations’ initiatives; Word processing (MS Word) and Spreadsheets (MS Excel). • Support and promote digital related improvements: Collaborate with IT department to ensure optimal functioning of existing systems; Monitor existing system to suggest improvements. • Coordinate with other departments to ensure compliance with established policies • Support the Director of Operations in other particular projects.
Requirements: • Bachelor´s Degree • Proficient in English and Spanish (written and oral) • Minimum of 3 years of experience • The candidate will demonstrate solid communication and negotiation skills and ability to work under pressure • Excellent word processing and IT skills, including knowledge of a range of software packages • Excellent organizational and time management skills • The ability to research, analyze and present material clearly and concisely • Excellent interpersonal skills • Attention to detail • Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines • Discretion and an understanding of confidentiality issues • Analytical abilities and aptitude in problem-solving • Availability to work on Saturdays
