IE School of Architecture and Design redefines design education, based on pedagogical and technological innovation, project-based learning and environmental responsibility. In an international and entrepreneurial environment, the IE School of Architecture and Design seeks to bridge the traditional gaps between academia and the professional world and to connect architecture and design with the broader society. The Assistant will provide support to the School´s programs, being the first point of contact with students and professors on a day-to-day basis. The Program Assistant will carry out administrative tasks necessary for the smooth running and delivery of current programs, as well as for the development and launch of new ones. He/she will also assist other programs and activities when required. The candidate must feel comfortable working in a busy environment that will require multi-tasking and the ability to manage a high volume of work. Also, the successful candidate should be detail-oriented, enjoy interacting with students, and being a team player. This job has a schedule from monday to friday from 13h to 21 h. Key Action Areas: • Liaise and act as point of contact with the different departments involved in programs’ operations and administration (Faculty, Admissions, Registrar’s Office, Planning…). • Gather information on School activities, student, faculty, and alumni successes to support communication and reporting activities. • Attend and support the students and professors daily. • Coordinate the program documentation and logistics with the professors • Manage e-mails and respond on time to student queries. • Process internal expense reports. • Contribute to the preparation and edition of reports and presentations. • Manage the logistics of the program deliveries: caterings, organization of extracurricular events (simulations, visits, etc.) and travel arrangements. • Collaborate with our learning technologies team to support the online learning platform, ensuring accuracy and appropriate maintenance.
Requirements: • Bachelor’s Degree. • Fluency in both English and Spanish, and good communication skills (verbal and written). • A track record of customer interface, excellent organization skills, and a “can-do attitude”. • Proficiency in Microsoft Office (Word, Excel and Powerpoint). • Curious, open to learn and with team-working skills. • Strong desire to work in a multicultural environment. • Candidates must possess a valid EU work permit.
