Funciones

We are looking for an enthusiastic Program Coordinator to report to the Arts of Humanities Division of IE University. This person must feel comfortable working in a busy environment that will require multi-tasking. He or she will have three main missions: general administrative support of the department, support of its academic activity and with all the extracurricular activities it organizes. Experience in marketing, communications (social media, web, etc.) and events management will be highly valued.

Key Action Areas:

- General administration of the department:
Book conference calls, rooms, taxis, couriers, hotels etc.
Maintain computer and manual filing systems
Take accurate minutes of meetings
Coordinate office procedures
 Reply to email, telephone or face to face enquiries
Develop and update administrative systems to make them more efficient
Resolve administrative problems
Manage staff appointments
Develop and maintain a filing system
Order office supplies
Book travel arrangements
Submit and reconcile expense reports, coding invoices, uploading expenses to Cytrix, managing advances
Provide general support to visitors
Provide information by answering questions and requests
Research and creates presentations
Prepare and monitor invoices
Tabulate surveys
Contribute to team effort by accomplishing related results as needed
Write letters and emails on behalf of other office staff
Coordinate repairs to office equipment
Marketing and Communication support:
- Communication:
 Responsible for creating written content. Supporting with the website and social media.
Preparation of presentations and informational material with Word and Powerpoint
Marketing: promotion of the activity of the division.
- Events Planning:
Organization and promotion of activities supported by the Division (creation of fliers, Eventbrite, room bookings, coordination of room settings, follow up of registration of guests, attendance and surveillance during the event, social media coverage, coordination of presents for the speakers, among others)
Assistance during the event or the activity, both inside or outside our campus
- Academic area:
Coordination of faculty meetings
Support with the management of any faculty issues
Support in the creation of new projects
Responsible for planning the program sessions
Coordinate teachers' agendas
Coordinate teaching material requests with the Documentation department, upload documents and syllabus to the online campus
Proactively manage the relationship with students before and during the program, provide them with relevant information, solve problems, questions, refer them to the appropriate areas, follow up on their attendance record
Organize teacher’s trips
Support students in the admission process, managing registration applications and formalizing enrollment

Requisitos

Bachelor´s degree
Bilingual in Spanish and English, as this position requires both languages every day
Must have excellent written and verbal communication skills in English.
Interest in the arts and humanities
Strong project management skills
Able to multi-task
Drive, imagination and creativity are key
Availability to assist events at flexible hours.
Skills such as project management, customer service, problem resolution and teamwork
International profile, experience in working in multicultural environments
Proven general administration experience
Proficient in MS Office & proficiency in power point presentations, Eventbrite and create of graphics and design of fliers
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi-task and prioritize work
